Meeting Workspace shows attendee response incorrectly

Hi,

I created a meeting request using Outlook with a Meeting Workspace on WSS 3.0.
After attendee accepted or declined, I noticed that the "response" column were not update correctly.

This is by-design or it's incorrect behavior of the Meeting Workspace?

hi all,

I found solution now.

Well, after attendee responded to the invitation, I assume that Outlook was trying to update the status (accept / decline) in the Meeting Workspace page on SharePoint. Unfortunately, the login credential was not supplied automatically somehow.

So, I configured Internet Explorer to supply login credential automatically(**a). After that, the status get updated correctly. Even though, the attendee who accepted at the first time and then declined later. The status was updated accordingly.


**a : To configure IE supply login credential automatically
1. Go to Tools -> Internet Options -> Security -> Local Intranet -> Sites -> Advanced.
Then add SharePoint address there (e.g. sharepoint.company-name.com). You may also uncheck the "Require server verification ..." if you do not use the "https" protocal.

2. Still in the "Local Intranet" tab, click "Custom Level" and scoll down to the bottom of the lists. Then choose "Automatic logon only in Intranet Zone".

Hello,

After test in my environment, I’ve found that the issue you met is not correct. In fact, if the user (attendee) click “accept�the “response�column of attendees list will surely be updated to the status of “accepted� But the premise is that you need to refresh the attendees list. So please refresh it to see whether it changed. Another thing you need to pay attention is that all the attendees in attendees list should be generated from the “Send to:�address from the OutLook meeting request rather than you add them directly in attendees list.

Well, I have done a few more tests as follows:

1st time, create a Meeting Workspace in SharePoint. Then create meeting request in Outlook and link to that Meeting Workspace.
2nd time, create a meeting request as well as Meeting Workspace using Outlook directly.

I had wait for 10 minutes after attendees "accept" or "decline" before refresh the page, both times got the same result (incorrect).
Note that, some of attendee have "owner" permission, while some have "visitor" permission to the SharePoint Site and Meeting Workspace.

Is there any service pack or patch for SharePoint?

One thing that worth mentioning here is that, if you configure IE to supply login credential automatically, system will no longer ask for your username and password.

PROS: You don't need to supply username/password every single time you open MS-office files (e.g. .doc, .xls) that place on SharePoint server.

CONS: When you are away from your computer, someone may start IE and gain access to the SharePoint system automatically.

This hasn't resolved the problem for me, sorry - though I'm using a Hosted Sharepoint service; I don't know if that makes a difference.

My Hosted Sharepoint Service is through SherWeb (www.sherweb.com). I contacted Tech Support about the problem. Their response: Updates to Attendee Response tracking is not supported.

I haven't tried creating a meeting request on the sharepoint site - my efforts have all focused on creating meeting workplaces on sharepoint via the meeting request facility in Outlook 2007 running on my computer.

If I learn anything new I will post back here.

Did you find any further information on this?

We are having the same issue on our internal SP site.

I'm not sure what Xing-Bing Yu is referring to with "refreshing", but I have browsed the attendee list, closed the site, gone back in, waited a reasonable amount of time...nothing seems to happen. All our invited attendees have accepted and they all still have a Response = "None".

Does the IE change you found apply to the users accepting the meeting or just the organizer?

Hi Peter,

Since my problem get resolved by changing user authentication setting in IE.
So, I think that the problem does not concern with "where did you create the meeting request" (via Outlook 2007 client or via SharePoint screen).

When I was having this problem, the problem always happened both of Outlook client and SharePoint screen.
And dhen the problem get resolved, I no longer find the problem no matter the meeting request get created using Outlook client or SharePoint screen.

Hi Keith,

Well, after change setting in IE, all responses update correctly (both users and organizer).

According to Xing-Bing's advise, he suggested to ensure that :
- the list of attendee must be created through the meeting request creation function in Outlook (not manually adding via SharePoint)
- refresh the page after attendee accept/decline the request

That's it. Have you try changing the IE setting? What's the result?

If I know more details and/or workaround, I will surely come back and share them here.
